Summary
Must provide receptionist duties and clerical support to the department or
organizational unit. Responsible for maintaining customer service area, taking
and directing all incoming calls, taking messages, scheduling meetings and
appointments as necessary, and greeting and assisting customers/clients while
building professional rapport.
Essential Functions
Monitoring and handling busy switchboard. Employee must answer phone
calls and direct calls appropriately. Should record name of caller, time of
call, nature of business, and person called upon in a professional manner.
Greet customers and assist them with questions or problems. Must maintain
professional character and build rapport, while directing customers/clients to
specific destinations.
Post notices and important information as necessary.
Process and prepare documents, memos, notices, and correspondences.
Perform a variety of clerical duties such as sorting and distributing
mail, typing, faxing and scanning documents, and scheduling appointments and
meetings.
Assist other staff members with filing, copying, correspondences and
other tasks as requested.
Receive payments and record receipts.
General computer work such as data entry and maintaining customer files.
Collect payments from customers.
Regularly check supply room and maintain supply inventory.
Attend staff meetings occasionally.
Maintain front desk organization and neatness of reception
area.
Take on other clerical/receptionist duties as assigned.

Essential Job Qualifications
In order to be successful with this position, the employee must be an
enthusiastic, hard-working and focused individual. All the above duties and any
other additional duty assigned must be performed satisfactorily. In the case of

Education/Experience
· High School diploma or GED equivalent.
· 6 months-1 year related experience.
· Proficient in Microsoft Office (Microsoft Word, Excel, and
PowerPoint).
· Some experience with data entry.
· Strong team player.
· Customer-service experience.
· Good communication skills.
· Must be proficient in the English language.
Mental Effort
· Ability to make decisions in a quick manner.
· Ability to maintain focus on work if and when distracters exist in
work environment.
· Ability to carry out a few tasks at once.
· Ability to do basic mathematics (addition, subtraction, division,
multiplication, fractions, etc.).
· Ability to use knowledge and common sense to carry out given
instructions.
· Exercise discretion and judgment in responding to inquiries and
protecting confidential information and issues.
· Ability to manage ones own time.
Physical Effort
· Normal physical strength and lifting 10-20 pounds. Employee may
occasionally be required to lift packages and other material that may weigh up
to 20 pounds.
· Ability to make normal movements from place to place. Employee
will frequently have to stand or walk around. If handicap exists, employee
must be able to move around with reasonable accommodations.
· Ability to multi-task. Employee should be able to work well under
pressure and be able to handle a few tasks at one time.
· Must be able to use hands and fingers to feel, handle, or reach
for objects.
· Must be able to type for a long period of time.
· Normal hand eye coordination.
